If the person (or system) who sends you the text with the small squares does not explicitly "tell" you which fonts you need, is there a way you can determine which are the appropriate ones to install?

In the final analysis, there is nothing that you can do to insure that others will be able to read what you have written. To be able to see the proper display of the text, yourself, you need to install the appropriate font(s). You can, of course, suggest to others that "to view the following text, you will need to have installed XYZ font" but you can't force them to do so.

That usually happens because the computer in not recognizing the character. Sometimes when you type an accented letter in one program it will not be recognized by another program. I had this problem many times when using greek letters in my stats class.
